Six Months Before the Event

The earlier you start, the better. Corporate events require longer lead times than most teams expect.

Set your objectives first. What does success look like? Define it before you brief any vendor. A product launch has different goals than a team-building retreat.

Lock the venue. Kampala's quality conference venues — hotels with full AV, catering, and parking — book out quickly. Shortlist three venues and book within a week of confirming your dates.

Three Months Before

  • Confirm your speaker lineup and AV requirements
  • Brief your catering team on dietary requirements
  • Finalise the programme / agenda
  • Send save-the-dates to all attendees
  • Book airport transfers for out-of-town delegates

One Month Before

  • Finalise attendee numbers for catering
  • Create a minute-by-minute run-of-show
  • Brief your on-the-day coordination team
  • Confirm AV setup and test equipment

The Day Before

  • Venue walk-through with your coordinator
  • Confirm all deliveries and set-up times
  • Brief your team on their roles
  • Prepare delegate packs if applicable

After the Event

A post-event report should include attendance figures, feedback scores, key moments captured on video/photo, and budget reconciliation. This data is invaluable for planning your next event.
